MaxxTraxx Pro CE 5.0.1.0 - 12/30/09 (Current)

·         ADDED - MaxxBucks Customer Retention module.  This is a customer retention module that works like a rewards program for your customers.  Each time they have work done on their car they can earn discounts towards their next repair.  You can name it anything you want (IE., WallyBucks, Rewards Points, Discount Duckets, etc.)  This is set up in the new Marketing section of the Setup Menu.

·         ADDED - Date and available MaxxBucks to the Mail Merge function when creating or editing a postcard or letter.

·         ADDED - Feature to prompt the Service Advisor to ask a customer if they want to schedule their next appointment when he/she is posting and paying the customer’s current Repair Order.  This can be set as a default behavior in the Setups/Repair Order and Part Invoice Setup/R/O Setup section of the program.

·         ADDED – Feature to prompt the Service Advisor to flag a marketing letter or postcard for the customer as he/she posts and pays the customer’s current Repair Order.  This can be set as a default behavior in the Setups/Repair Order and Part Invoice Setup/R/O Setup section of the program.

·         ADDED - Monthly Appointment Calendar.  This new feature, when used properly will allow the service advisor to get a quick month view of upcoming appointments and projected scheduled technician hours.  Also added a Button on the Service Counter Schedule to call the new Monthly Appointment Calendar.

·         ADDED - Field to the Setups/Company Setup/Display tab for "Amount of hours available for appointments per day".  This is to work in conjunction with the Month Calendar view of future scheduled appointments.

·         ADDED - Feature when adding a buyout part to an RO and selecting "Add Another", it now remembers the vendor and vendor invoice and pre-fills them on the next buyout to add.  This only works if you are NOT tracking Buyout parts in Inventory setups.

·         ADDED - Appointment contact setup under the Marketing setup menu.  This feature is meant to set the amount of lead time when calling customers to remind them not to miss their scheduled appointments.

·         ADDED - Appointment Contact list to view and contact customers with upcoming appointments.  This can be accessed from the Toolbar Menu choice of Marketing/Contact Customers With Scheduled Appointments.

·         ADDED - Added Bin Label printing function.  This can be accessed on the Bin Label Print button on the Parts Form

·         ADDED - Added Program and Workstation setup for the Bin Label printer.

·         ADDED - Put in security setting for "Post AR Finance Charges".

·         ADDED - Ability to set different foreground and background text colors for Repair Order and Part Invoice statuses which show in the status column on the Service Counter Schedule or Open Part Invoice browse list.  To do this go to Setups\Miscellaneous Lists\Repair Order Status or Parts Invoice Status and edit any statuses you want to change the color of.

·         ADDED – When editing letters or postcards, created the ability to put the same merge field in the letter or postcard multiple times.

·         ADDED - Put new checkbox on the Part form to determine if a part earns MaxxBucks or not (on the price tab, by the discountable checkbox).

·         ADDED - Put a checkbox on the Part Sale Info form, Buyout/QuickPart form, and Sublet Sale Info form to determine if that item will earn MaxxBucks for the customer.  This allows individual item overrides on a per RO basis.

·         ADDED - Put security settings in to edit the MaxxBucks setup form.

·         ADDED - Put security settings in to edit the MaxxBucks earned on the customer form.

·         ADDED – Created new icon (piston with red circle and line through it) to show parts that are not in stock when putting them on a Repair Order.  Parts Order form to follow in next update.

·         ADDED - Background color of the tech column on the schedule now changes if there is a tech currently clocked in to the RO.  If there is not a tech assigned to the appointment or RO form, and there is a tech clocked in on the RO, the tech column on the schedule shows "In Wrk".

·         ADDED - Automatic A/R Finance Charge function.  This gives the ability for the user to pick the date to post finance charges and then generate all finance charges for customers that owe money.  Anything past due as of that date will get a finance charge.  Customers may be exempted from this charge on a per customer basis by setting this property on the Customer form.

·         ADDED - CTRL + INSERT now adds a free form labor on an RO if a reason for service is highlighted, or a buyout part if a Labor is highlighted.  INSERT adds parts from your Parts List and CNTR + INSERT allows you to quickly add Freeform Labors or Buyout/Quickparts

·         ADDED - New Customer Follow Up report under the Marketing category on the reports menu.

·         ADDED - Put last backup date/time in the program status bar.

·         ADDED - If the data backup is not set, or the backup is over 24 hours old, the program shows a warning on startup.

·         ADDED - Feature to replace an inventory part on all kits with another inventory part.  Open a kit and right click on the part to access the new feature.

·         ADDED - Created new utility to calculate MaxxBucks from old RO's.  The utility will calculate RO's between two dates, and it only calculates RO's that do not have the UseMaxxBucks checkbox already set.  After calculating it sets the “Use MaxxBucks” checkbox so the RO's will not be recalculated if the utility is run again.  This utility can be run from the MaxxTraxx Pro folder.  It cannot be launched from MaxxTraxx Pro Ce.

·         ADDED - New toolbar button “Enter Bills” and new menu choice under "Vendors" to create a manual Vendor invoice without having to go to the vendor record first.  This function is for entering invoices such as utility bills, telephone bills, rent, insurance, etc.  This function should not be used to enter your part restock invoices if you are tracking inventory.  If you are not tracking inventory, then you should enter those restock parts invoices with this function

·         ADDED - New security settings for "Override No Checks Accepted" under the service counter security group.  If security is being used, the program now prevents you from accepting a check if the customer does not have the "Accept Checks" checkbox set if you do not have the permission to do so.

·         ADDED - Feature to Michigan Repair Order so that the special Technician signature line now prints.

·         ADDED – Internet Auto Parts ordering system to MaxxTraxx.  Added new setup to Electronic Order setup for IAP.  Added new support fields to the vendor record when the IAP catalog is selected for the vendor.  Added IAP catalog to the RO, PI, PO and kit.  This feature also gives the ability to pull in Mitchell Labor Guide labor services and flat rate times if your vendor offers it through the IAP interface.

·         ADDED - Secondary sort by Status when the schedule is sorted by Technician or Service Writer.  (Sorry it took so long Chad)

·         ADDED - New workstation setup to reduce the height of the printed RO, reducing the size where the details print and moving the footer up by the desired distance.  There is a "Reduce RO height by" field on the Printer Setup tab of the Workstation setup form.  On the form, you enter the setting in inches (1.25 inches for example).  When it's stored in the INI file, it's stored as 1000th of an inch (1.25" on the form is stored as 1250 in the INI file).  The location in the local workstation INI is [LocalPrinters] ReduceROSizeBy=1250.  A value of zero leaves the RO as a standard 11”x8.5” invoice as was originally designed.

·         ADDED – Multi-Store Module.  You can now run multiple stores and have them communicate between each other.  Look up parts at other stores and transfer them to your store.  This feature is security enabled.

·         IMPROVEMENT – New and improved look and feel throughout MaxxTraxx.  Program has been modernized to look more like a Windows 7 user interface.  However, we made a concession to the old windows look with icons on the OK and Cancel buttons.  We found in testing that even though this look is old school, most users liked it because it made for less mistakes when saving or cancelling changes that were made.

·         IMPROVEMENT - View on the A/P and A/R transaction lists now defaults to view all open invoices and credits.  To look for specific date ranges etc, you now need to press the Find button.

·         IMPROVEMENT - Description of second level items on the Motor labors imported from InfoTraxx to use the full description from InfoTraxx rather than the default description from the Motor catalog.

·         IMPROVEMENT - The user is now taken to the Infotraxx TSB signup web site if they try to view a TSB document but are not subscribed.

·         IMPROVEMENT - "WAITING" text on the schedule to a red background with white text.

·         IMPROVEMENT - Marketing sub menu under the Setup menu to Marketing.

·         IMPROVEMENT - Moved the Letter, Postcard, and Label size setups to the Marketing menu.

·         IMPROVEMENT - Put incremental locator on the Product Codes table.  Now you can just press the first letter to go to the Product Code of your choice.

·         IMPROVEMENT - Parts Label Font sizes and location of printed text now change based on block label sizes of:
- 1 3/16 x 3/4
- 2 x 1,
- 3 x 1
- 3 1/2 x 1 1/7
When the user defines a label the program decides which block size it fits in and uses that size.  You may print to almost any sized label, but the print area will be one of the above sizes.

·         IMPROVEMENT - Number directly below barcode only shows if there is an SKU number.  If you don’t have a SKU number, the barcode will print the equivalent of the part number instead.  The Part number always prints on a separate line.

·         IMPROVEMENT - Put customer name in the title bar of the customer add wizard so you can see the name from other pages of the wizard.

·         IMPROVEMENT - TECH WORKSHEET.  Moved things around for clarity, added a green colored header and changed the font size for viewing from a distance.

·         IMPROVEMENT - Barcode printing so it will now print items from a vendor invoice that do not have a matching inventory part (buyouts).

·         IMPROVEMENT - Replaced "Tech 2" column on the schedule with "Unit #" (Fleet Unit #) from the vehicle form.

·         IMPROVEMENT - Added year, make, model and unit # to the appointment search results list.

·         IMPROVEMENT - "Marketing" group description on the security setup form to "Marketing" to match the setup menu.

·         IMPROVEMENT - Technician worksheet on the RO and the JobClock so it prints the mileage on the Repair Order instead of the one from the vehicle record.

·         IMPROVEMENT - Vehicle History report to default to the last 60 months instead of the last 36 months.

·         IMPROVEMENT - Short sold Sublets items on the Repair Order now show with a special icon with red circle and line through it.  These then need to be stocked before you close the Repair Order.

·         IMPROVEMENT - Hours assigned shown on the schedule to calculate like the appointment calendar does. Put available appointment hours, hours left, and percentage used on the schedule under the buttons on the left side.

·         IMPROVEMENT - A/P Discounts are now automatically applied on the AP Pay Bills form when the invoices show.

·         IMPROVEMENT - A/P check stub report so it only shows payments applied to the vendor invoice and does not show a blank line for discounts.

·         IMPROVEMENT - Added original quantity, cost, and total to the Items on Order report from the Parts Stocking screen, and fixed it so it shows the correct amount currently on order or backorder.

·         IMPROVEMENT - Added date filter to the Purchase Order Report.

·         IMPROVEMENT - Added invoice grand total to the appointment tab of the schedule.

·         IMPROVEMENT - Added stock on hand, quantity on order, reorder quantity, and location to the Part Sales Detail form.

·         IMPROVEMENT - Put "View Master Record" choices on the RO right click menu on the Main Menu instead of a sub menu.  This saves two clicks.

·         IMPROVEMENT - Changed "Finance Charge" text on A/R statements to "A/R Invoice - Finance Charge" so it shows the transaction type with it.

·         IMPROVEMENT - Removed the alpha character prefix from the reference number on A/R statements (CH, SC, etc.).  It now just shows the transaction number.

·         IMPROVEMENT - Changed descriptions for RO's in the A/R transaction list to show "A/R Charge On RO# 12345" or "A/R Credit On RO# 12345".

·         IMPROVEMENT - Changed descriptions for PI's in the A/R transaction list to show "A/R Charge On Part Invoice# 12345" or "A/R Credit On Part Invoice# 12345".

·         IMPROVEMENT - Double clicking on an AR transaction that is a payroll check loan repayment to view it now requires that you have the security level to run payroll checks.  Before it would allow the viewer to see payroll checks even if they didn’t have the authority.

·         IMPROVEMENT - Program now warns if you try to make an AR payment that is over the customer's credit limit.  If security is on, it only allows you to post the overage if you have permissions to adjust the customer's AR credit limit.

·         IMPROVEMENT - Message on the cash drawer to notify the user about credit hold and not to accept checks now blinks like the credit available text.

·         IMPROVEMENT - Moved the printed part invoice customer address to the right 1 inch so it works with windowed envelopes.

·         IMPROVEMENT - Changed minimum window size on the program so it does not allow the schedule to be resized so small that the controls begin to overlap

·         IMPROVEMENT - Changed credit total shown on top of the AP and AR transaction form to show as a negative number.

·         IMPROVEMENT - Added notes/memo to the register report.

·         IMPROVEMENT - Put "Engine Designation Code" on the technician worksheet.

·         IMPROVEMENT - Modified AP View Transactions and Pay Invoices area to show invoices that this Vendor may have charged on account as a customer when he had his vehicle worked on at the shop.  They show as Credits to the shops AP account and can be used to pay off AP charges from that Vendor if you want to.  Basically this allows you to pay your Vendor with work that you have performed on his vehicle and he has charged to his account.  Cool feature.

·         IMPROVEMENT - Increased the notes field on the employee and vendor records to 2500 characters.

·         FIXED - Bug in the printed RO checklist that was not printing all of the notes.

·         FIXED - Bug that was not allowing you to add a new GL account.  It was asking for an account type when adding a GL account even though one was selected in the drop down.

·         FIXED - Problem where the program was showing a dialog box with an update URL in it instead of going to the web site when the user did not have a valid subscription for the Motor Labor Guide.

·         FIXED - Bug that was not resetting the green-bar effect on the GL account and check register when the list sort order was changed.

·         FIXED - Bug that was not printing the recommendations on mail merge letters.

·         FIXED - Bug that was causing an item on a posted vendor invoice did not have a quantity received to put a zero entry into the part adjustments table.

·         FIXED - Bug that showed backordered items as "Stocked" or "Received" on the RO "On Order" tab.  Now shows them with a status of "Backorder".

·         FIXED - Bug that was disabling the Motor labors the second time you tried to select them from a non-customer quote that had a vehicle selected.

·         FIXED - Bug that was always disabling the Motor labors choice on the RO's labor button menu.

·         FIXED - bug that was putting a value in the PartSolds Cost field for items with cores that were assigned to an RO, and the core on the RO was marked as received.  It should not put a value in the Cost field for received cores.  Putting a value in the Cost field was causing the RO to create a COGS and inventory disbursement for received cores when it shouldn't have.

·         FIXED - Bug that was not displaying the profit graphic or percentage correctly when editing a buyout.

·         FIXED - When the Cost Multiplier from Part Matrix is used the number was added to the cost as the markup and was not being multiplied correctly.  NOTE: Happened when manually adding buyout to RO, not from a catalog.

·         FIXED - Bug in the AR transaction list that was showing a third party billing on an invoice for the customer being viewed that was billed to someone else.

·         FIXED - Bug on the AR transaction list that was not showing anything third party billed to the customer being viewed.

·         FIXED - Bug on vendor invoice that was not moving the button to print barcode labels when the window was resized.

·         FIXED - Bug in the purchase order report that would not show vendors who were not companies if you filtered by the vendor name.

·         FIXED - Bug in the Daily Summary report that would run the report even if you pressed cancel on the filter form.

·         FIXED - Bug when reconciling a bank account that has been closed and bringing it to a zero balance.  System will only allow you to save the zero balance, it wont allow you to post the reconciliation of zero dollars.

·         FIXED - Bug when showing Parts on Order from the RO or Part Form, it was incorrectly including items on an un-posted vendor invoices as received.

·         FIXED - Bug that was not showing the original estimate and revised total correctly on the "Revisions" tab of the schedule when you selected a new appt/invoice in the list.

·         FIXED - Bug that was showing the status of a part on order incorrectly as "Received" on the Parts on Order tab of the RO if the vendor invoice was not posted yet..

·         FIXED - Bug when excluding a labor from showing in the labor history list that was not updating the history record properly and could have caused the item to still show in the history list after you marked it not to.

·         FIXED - Payroll checks were showing in the AR transaction list.  They should only show if there are any loan repayments on them, and only show the amount of the loan payment, not the total of the payroll check.

·         FIXED - Bug that was showing the part selection list in a mode to select cores when replacing a part on a kit.

·         FIXED - Bug that was resizing controls improperly on the schedule when the user resized the program.

·         FIXED - Bug in the Inventory Short Solds report that was counting the number of parts sold instead of calculating the total of parts that were actually sold short.

·         FIXED - We thought we had fixed this some time ago, but apparently it was only a partial fix.  Back to our old buddy the cores.
1. On Service Counter, selling a cored part in multiples causes the core side to match the count of the part being sold.  That’s good.
2. On Service Counter, returning a cored part (receiving it back from customer) in multiples leaves the core count at 1, meaning the returnable core count will be off. (You can, after saving the part, edit the core and change the qty.)
3. On Parts Counter, selling a cored part in multiples leaves the core count at one. You cannot edit.

·         FIXED - Bug that would GPF when viewing a customer from the schedule, viewing a vehicle's recommendations, then selecting to edit or add one.

·         FIXED - The bug was if you paid an AP vendor charge with a credit card, then voided the payment and then deleted the payment (why would you?) the payment transaction would then actually double the amount due. Then it would lock the invoice from being edited saying it had already had a portion paid.  ie; manual invoice for $50.00, pay by cc, void the payment, then delete the payment and the invoice would show the original balance of $50 but a remaining balance of $100.00.

·         FIXED - Bug that left the delete button enabled on lists when viewing items that were already deleted.

·         FIXED - Bug that was not showing the credit card charges in the credit card vendor's AP transaction list.  They were there, but just not showing.

·         FIXED - Bug that caused the area where "No Checks" is shown on the cash drawer to flash a red rectangle when there was nothing to show.

·         FIXED - Bug that was showing deleted tires in the tire quote list.

·         FIXED - Employee payroll totals report were doubling IRA contribution on report,

·         FIXED - When a Deposit is made and the user forgot to print the deposit slip and then voided the deposit, MaxxTraxx didn't put the checks back into list to redeposit.

·         FIXED - Bug that was adding a part adjustment record when putting a part from a kit onto a quote.

MaxxTraxx Pro CE 4.6.3.0 - 06/23/09

·         ADDED - Put running balance back on the account and check register.  This version calculates in memory so it should be faster than the one before.

·         FIXED - Bug that was not bringing cores in from the Napa catalog.

·         FIXED - Assorted small bugs throughout program.

MaxxTraxx Pro CE 4.6.2.0 - 06/05/09

·         ADDED - An options window on the part detail form when printing the barcode labels that lets you choose to print the price on the label, and if you are printing a label for a single part, the number of copies to print.

·         ADDED - Printed Checkbook Reconciliation Report.

·         ADDED – Manufacturer Line code to the printed description when imported from NAPA online parts.

·         IMPROVEMENT - If a part ordered from NAPA has a zero quantity on hand at the NAPA store, the program now puts "Please order this ASAP" in the notes field of the NAPA order when sent.

·         IMPROVEMENT - Increased MaxxTraxx Checklist line item description field to 100 characters and Checklist Notes to 300 characters.

·         IMPROVEMENT - Sorting of transactions in Bank Reconciliation browse.  Transactions are put into three groups: Deposits/Credits - Transactions in this group are sorted by Type of transaction, then by date. Checks - Transactions in this group are sorted by check number.  All other transactions - Transactions in this group are sorted by Type of transaction, then by date.

·         FIXED – Temporarily removed running balance from G/L Account view and Check Register which was causing speed issues on the Account Register.  This will be addressed and hopefully re-introduced in a later version with faster results.

·         FIXED - Bug that would sometimes show a Reason for Service and Labor twice with different parts under them.  This was extremely rare.

·         FIXED - Removed code to close the Service Counter when opening the Parts Counter, and visa versa.  The program now allows you to have both open at the same time.  We also made Service Counter and Parts Counter non-resizable and always maximized within the application frame.

·         FIXED - Bug that caused the NAPA choice to be disabled when clicking on the Add Part button on the RO.

MaxxTraxx Pro CE 4.6.0.0 - 05/27/09

·         ADDED - An options window on the part detail form when printing the barcode labels that lets you choose to print the price on the label, and if you are printing a label for a single part, the number of copies to print.

·         ADDED - On the cross ref form, adding a cross reference that points to an existing part in the inventory list now changes the text on the radio button to "Cross Application".  This makes the distinction between Cross References, which are alternative names to a single part and Cross Applications which are completely different parts in inventory that can be used as an alternative to the original part that was searched for.  (for example, different brands of spark plugs that all fit the same car would be Cross Application parts whereas different part numbers that all point to the exact same part in the inventory list would be Cross References.  Manufacturers that take an old part and give it a new number and Supercede the old number with the new one would be a good example of this)

·         ADDED - Put a message that shows on the Part Browse form when they have searched for a part number that doesn’t exist in the part list or the Cross Reference list and the search form has become blank to tell the user they can use the backspace key or the Clear Search button to change the search.

·         ADDED - A running balance to the GL Account Register.

·         ADDED - Added message when you change a tax rate in Accounting Setups that warns the user that the taxes on open RO's and PI's are not affected unless they go to the Miscellaneous page on each ROP and edit them and reselect the tax rate.

·         ADDED - A button on the cross reference browse form to add a new part if the part you are looking for does not exist in the inventory list.

·         ADDED - Ability to send a vehicle a marketing letter on a specific date as opposed to just a number of days in the future.

·         ADDED – NAPA online ordering through the Repair Orders, Parts Counter, Parts Orders and Vendor Invoices.

·         ADDED - Accounts Receivable Transactions report and Accounts Payable Transactions report.

·         ADDED - Ability to change the quantity while selecting parts from the NAPA or ALLDATA catalogs.  There is also a checkbox on the form that will allow you to ask for the quantity when the part is selected from the catalog, as well as a button to edit the quantity.

·         ADDED - Ability to right click on a part and go to the master part record in the list of parts to order from an RO.

·         ADDED - default RO setup for what to do with old parts on the "R/O Setup" page of the repair order setup form.

·         ADDED - ATI Report feature under the Manager -> Specialty Management Reports -> ATI Report menu choice.

  • ADDED - ability to view sent letters instead of letters to send.

·         IMPROVEMENT - Put date on the barcode label.

·         IMPROVEMENT - Removed search field from the cross ref/app list.

·         IMPROVEMENT - The cross application button now only views cross app parts for the highlighted part.  Now pops up a message, and puts a message beside the cross app button, if there are no cross app parts to view when you press the cross app button.

·         IMPROVEMENT - Changed description in the Cross Reference/Application list to show the description of the Cross Application part that was found and not the original part that was searched for.

·         IMPROVEMENT - Moved Cross Reference and German Sort buttons on the Parts Browse to the search locator area and disabled them when nothing is in the locator field.

·         IMPROVEMENT - Now checks for a part match after typing a part number into the cross reference form.  If a match is found the user is given the choice to select from the list of matching part numbers already in inventory and add a cross application to it, or add a cross reference.

·         IMPROVEMENT - Cross Reference / Application list now only shows if there are records to display.

·         IMPROVEMENT - The Nexpart and NexCat part lookup and order forms to use a different method of calling the Microsoft Internet Explorer.  This could have been causing MaxxTraxx to close down harmlessly, but without notice on certain systems.

·         IMPROVEMENT - Invoice email routine so it will allow you to email a cash part invoice without an attached customer record.  You can set who to send it to on the default email form that pops up.

·         IMPROVEMENT – Buyouts/QuickParts being added to inventory now require the part number.

·         IMPROVEMENT - Buyouts without part numbers no longer check for duplicate part numbers being added to the RO.

·         IMPROVEMENT - Description on cross ref/app list to show "Cross Reference List' or "Cross Application List" as needed.

·         IMPROVEMENT - Window that shows parts to order from an RO so that it shows the catalog vendor instead of the primary vendor when available.

·         IMPROVEMENT - Part adjustments now appear in list in reverse date order.

·         FIXED - Bug that was not assigning the Product Code ID to the record when adding a part from a PO to a vendor invoice.  This caused the disbursement record to be added without a GL account when the vendor invoice was posted, and caused the items to show up in the unbalanced transaction list.

·         FIXED - Bug that was calculating Misc. Charge tax using the entire amount for parts and labors individually before the maximum charge was imposed.  It needed to use the total of both added together after the maximum limit was figured in.

·         FIXED – Registration and Hot News have been updated to work better and not give false positives when registration data is garbled over the Internet.

·         FIXED - Bringing in a part with core charge from Wrenchead vendor, adds part to RO, asks if core received.  If answer Yes, it should add 1 to the count of returnable/used cores. it does not, but if you delete the part from RO, it takes one out, leaving you negative.

·         FIXED – Bug when bringing in a new part from Wrenchead vendor, which has a core charge, adds the part to inventory and marks it as USED, rather than REMAN.

·         FIXED – Bug that if you're in a quote, you cannot bring both parts and labor back from a Wrenchead vendor. You can now.

·         FIXED – Bug not allowing an email of a posted parts invoice.

·         FIXED - Bug that when you do a search by unit number the display screen has a vehicle column but no vehicles display.

·         FIXED – Bug in kits that saved wrong pricing info when Default or Actual Price chosen.  If you had changed the Vehicle, when you saved it, it reverted to Default to Saved Price instead of your original choice.

·         FIXED – Bug when adding parts to an RO using Buyout/QuickParts with the following settings in the Inventory Setups: Track Inventory, Add buyouts to parts list, and NO use of Price Matrix... the parts are added to the invoice as NON discountable so that you are unable to edit the pricing.  The part is added to the inventory list AS discountable so then you have to delete the part from the invoice and read from inventory to allow access to the part price on the invoice.

·         FIXED - Bug that was showing the description of "Cross Reference" for cross app parts in the cross ref list on the part form.

·         FIXED - Cross Reference button on the part browse so it shows a message window if there are no cross ref parts for the part number instead of going to an empty cross ref list.

·         FIXED - Physical Inventory module now checks for multiple users accessing it at the same time.  This wasn’t being checked before and would allow the inventory to be posted more than once.

·         FIXED - GPF when you searched for a vendor invoice by anything other than the default order, then added a new vendor invoice and saved it without posting it.  (found from a GPF report from Jimmy's)

·         FIXED - Bug in the registration process that sometimes prevented multiple stores from being run on a single terminal services machine.

·         FIXED - Adjusted the status bar width on the main application frame so that the program version does not get cut off when viewing in 1024 x 768.

·         FIXED - Corrected problem in the spell check template that could have caused a problem under very special circumstances.  None were reported so far.

MaxxTraxx Pro CE 4.4.9.0 - 02/19/09

·         ADDED - Choice to the Utilities menu in MaxxTraxx to send the shop data to Scott Systems for diagnosis.  This backs up their database, zips it, and FTP’s it to the Scott Systems’ customer support staff.

·         IMPROVEMENT - Removed the customer number and password field from the Backup setup form.  It is no longer necessary as MaxxTraxx generates the login and password information internally.

·         IMPROVEMENT - Added Schedule and Customer records to the export the 3rd Party Marketing Export function.  This gives more information to companies like CustomerLink, Mechanic.Net and OnStation to work with for their customer follow-up mailers.

·         FIXED - Bug that attached a kit created from an RO to the RO it was being created from which made it appear on the RO twice.  Just like a new if you had chosen to add the new kit to the RO.  Unnoticed, this would have caused the shop to sell the same services twice.

·         FIXED - Modified MaxxTraxx Pro so that it uses a unique configuration file for each workstation.  This was only a problem in multi-store operations where a Microsoft Terminal Server was being used.  Before it would cause printer settings on each workstation to override each other.

·         FIXED - Bug that was not printing a negative sign on discounts in the totals area of a printed RO.  This was a print problem only and it did not effect the totals on the Repair Order.

·         FIXED - Bug that was still reserving the space for the Florida disclaimer when printing a paid RO even though the Completed and Paid RO does not print the Florida disclaimer on the final printout.

MaxxTraxx Pro CE 4.4.7.0 - 02/12/09

·         IMPROVEMENT - Part form for parts on menu priced labors so the discount percentage field calculates but is not editable.

·         IMPROVEMENT - QuickBooks export now checks for out of balance transactions before creating the export file and displays a window showing the out of balance transactions if there are any.  The export file is not created if there are any out of balance transactions.  An error log named "EXPORT_ERROR" followed by the date and time is created which shows the out of balance transactions followed by a dump of all items selected to be exported showing the disbursement amount.  The dump exports all selected items, out of balance or not so you can see exactly what the user chose.  If the QuickBooks export has an error and does not export properly, the batch number, date, time, and Re-Exported fields of the items that were selected for export are now restored to their previous values.  Prior to this they would still show the new batch number info even though they did not get exported properly.

·         IMPROVEMENT – Program so that that it uses a configuration INI file of the local computer workstation name in the MaxxTraxx program directory instead of the “Mxtrxpro.ini” file in the local Windows directory.  When the program starts and does not find a local INI file for the computer name, it renames and copies the “Mxtrxpro.ini” file from the Windows directory to the MaxxTraxx directory if it exists.  This is so that when MaxxTraxx runs in a Terminal Server environment, each workstation will get its own printer, screen position and miscellaneous configuration settings.  Before, the workstations were set to the same settings due to the Terminal Server’s inability to differentiate between workstations.

·         FIXED - Bug that was not calculating the discount on the part form for parts on a menu priced labor.

·         IMPROVEMENT – Feature that was calculating the Reorder Quantity in the parts record without taking into account the parts that were currently on order.  Now it looks at all open Parts Orders and Vendor Invoices to calculate the new reorder quantity.

·         IMPROVEMENT - Bug that was not using current cost for labor when ADDED from a kit.  It was using the old saved cost which may not be accurate anymore.  It now always uses the current labor cost.

·         FIXED  - Bug in the inventory sales history report that incorrectly calculated the profit and profit percentage.

·         FIXED – In Payroll, paycheck stub was not printing local tax and did not include it in total on stub.

·         ADDED - "Test" button to the email setup form so you can test the email settings without leaving the form.

·         ADDED – A Warning Notice when starting the Physical Inventory process that states that all pages that will be counted need to be counted and posted to the physical inventory before restocking, selling or manually adjusting of any parts.  In other words.  You can do no business after you have printed the Physical Inventory Sheets until you have finished Posting the new Stock on Hand quantities.  Failure to follow this procedure will invalidate your inventory counts.

·         FIXED - Made adjustment to the printed RO to try and fix the problem where it overprints onto the totals area instead of printing the totals on another page.

·         FIXED – Intermittent Part invoice sales tax bug.

·         FIXED - Put code in the TimeClock clock-out form to make sure it uses the last clock in record available.  The query before this would find the first record in the table that did not have a clock out date/time and use it, which if there was a record like that on a previous day for some reason, it would use that one and clock you out of the wrong record.  This could cause a record where the clock in and out date would be different.

·         FIXED - Receiving Non-Invoiced cash in by other than cash (credit card, check) treats it like cash.  That is, in Make a Deposit, it adds to the Cash Available for Deposit, rather than to the Credit Cards or Checks.  Also, it didn’t show up in the Daily Sales area as affecting cash, and was not displayed in the Daily Cash Drawer Financial Summary report on page 2 or 3.

·         FIXED - Bug that allowed A/R and A/P manual invoices to be saved with a due date before the transaction date.

·         FIXED - Bug in the physical inventory posting that was not updating all of the parts it should have.  Random parts would not be seen as needing to be updated even though they should have been.

·         FIXED - Bug in Kits that was bringing buyout and placeholder parts on the RO at 100% discount if the Kit was using actual prices.  IMPROVEMENT so that it will use the saved price for buyouts or placeholders even if use actual price is checked.

·         ADDED - Radio Code and Miscellaneous fields to the vehicle table and form.

·         IMPROVEMENT - Canceling in the middle of paying an Repair Order or Parts Invoice payment that has been paid with a credit card now voids the credit card transactions at the gateway instead of issuing a credit for to the customer.  By doing it this way, the customer never sees the transaction on their account statement.

·         ADDED - Put a window in for messages from the Credit Card Gateway to tell that the charge is a duplicate charge to the same customer on the same day.  The message window notifies the user and gives them a chance to override the duplicate and charge anyway.  If they choose to override it, the current time value is appended to the invoice number and passed to the gateway as the new merchant number which avoids the duplicate error.  They can also choose to not charge them again and return to the payment form.

·         ADDED - Put option on the right click menu of the AR transaction list to reprint the deposit on account receipt.

·         ADDED - Modified credit card processing so it looks for an invalid swipe before sending the data to the gateway and shows an error message telling the user to try again.

·         ADDED - Credit card payment information now goes to the AR receipt.

MaxxTraxx Pro 3.8.8.0 – Update - New Features and Bug Fixes - 12/14/06

  • 3.8.7.6 Hotfix changes listed below
  • ADDED - Feature to total labors and parts on quote items being selected to put on an RO.
  • ADDED - Menu to the Quote button on the RO to choose from Reasons/Labors/Parts quotes depending on the level you are on in the tree view.
  • ADDED - A warning that there are quotes written for a customer when you are creating a RO or APPT for him.  Currently, there is no automatic way that the Service Writer knows there are open quotes.  (Thanks to John at German Motor Service).
  • ADDED - Routines to check for quotes when adding an appointment or RO now excludes quotes that have expired.
  • ADDED - Driver name and Sales Person are now filled in with the customer name and logged in employee when adding a new Parts Invoice.
  • ADDED - Credit limit field to the Vendor form.
  • IMPROVEMENT - Quote button on the RO is disabled if there are no quotes for the customer/vehicle it's for.
  • IMPROVEMENT - Requests for Service and Vehicle Problems aren't saved on the RO in the order you created them.  It rearranged them in alphabetical order during the appt process and then copies it to the RO in that order. Now it saves them in order.
  • IMPROVEMENT – Service Schedule, if the promised date is different than the start date, then the promised column should show the date and not the time, even if today is the day that the appt was made.  Because the promised date is tomorrow and it is confusing to show the time in that column when it really is referring to a different day.
  • IMPROVEMENT – When adding a part to a RO and you use Parts from History, it should also bring quantity across.  Same as it does on labor.
  • IMPROVEMENT - Default RO print format so the second signature line only prints if there is text to print under the signature area.
  • IMPROVEMENT - Made the bulk matrix price update faster.
  • IMPROVEMENT - Free form labors put on quick quotes now start with the default labor rate from RO setup.
  • IMPROVEMENT - Matched column headers in general inventory report with those in the valuation report.
  • IMPROVEMENT - Don't show Discount column on printed RO if there are no Discounts on the RO.  This has been a recurring request by most users.
  • IMPROVEMENT - Increased the size of the printed invoice disclaimer and warranty area to the largest allowed on the current RO to try and avoid cutting off the bottom of the text.
  • IMPROVEMENT - RO and PI now check for parts on order when the form is opened and closed.  Previously it was only done when the form was closed.
  • FIXED - Bug on parts invoices that would not show the WorldPac catalog when using the "Add Part" button.  It would work when right clicking, but not when using the button.
  • FIXED - If you try and delete a Source, it does nothing.
  • FIXED - System wasn’t showing newly voided repair orders on the voided repair order report.
  • FIXED - Running the inventory summary report by product code caused random part numbers to be duplicated, triplicated and fourplicated on the report.
  • FIXED - Bug on the schedule that would start with the highlight bar gray and not change the color until the list lost and regained focus.
  • FIXED - When going into a new RO and printing, if you choose to print vehicle history and a tech copy, you get a message the there are no records to print and the tech copy doesn't print but history does.  The tech copy prints fine by itself however.
  • FIXED - Workstation prints to default windows printer, not where it's directed.
  • FIXED - Inventory, Pricing, by Product code.  If part has multiple vendors, it shows up on the report once for each vendor.  Also, doesn't seem to be a pricing report at all, only shows Avg cost, qty on hand and valuation, as a General Inventory report would.  No price a, b, c, etc.
  • FIXED - If a part has accidentally been given a core cost it uses that cost even if you have chosen not to track cores on that part.  It also still charges the core cost when you purchase the part on a PO or Vendor Invoice.
  • FIXED – If you use a Menu Labor with parts attached on a RO, then delete the Menu Labor from the file, the parts are still floating out there, and when it tries to assign the labor from history, it can't find the parts.  This is not an issue with Flat Rate Labors, you can delete them and use them from history without error.  If you try to add a labor from history that is deleted it will warn you that you can not and will mark it as inactive in the vehicle labor history list.
  • FIXED - Add a kit with parts or labors on it with User charges and the user charges don't show up unless you highlight each part and open it up on the repair order.  NOTE: Problem was due to the part not getting the user charges when it was first added to the kit.  Existing kits will still have the problem unless you delete the part from the kit and re-add it, or update the user charges on the part on the kit manually.
  • FIXED – If you add a free form labor to quote, discount it, it will discount the discounted amount.
  • FIXED - Inventory Reserved Parts Summary report was including parts on quotes.
  • FIXED - Adding a free form labor to a quick quote created with any price except "A" did not bring the correct price across. Still used A no matter what you selected.
  • FIXED – In Time Clock if you added a reason for clock out in administration, then deleted the reason, the reason still showed when clocking out.
  • FIXED – If you start a quote for a customer, then add a part from ALLDATA that doesn't yet exist in parts and save it, it doesn't create the part.  Add the part from RO from ALLDATA, save the RO, it creates the part, and reserves one.  Go back to your quote, add the part again from ALLDATA, and it reserves the part to the quote.  Delete the part from the quote, it remains showing -1 in stock, but try to see where it's reserved, nothing found.
  • FIXED - If you create a Revision, the top number in your dropdown is not the default number, rather it is the phone number with the lowest digits.  Also, if you choose another phone # (in our case we chose the Default 1 number) when you go back into the revision after saving it, it had changed to a different number (in our case it had changed inexplicably into the Default 2 number). This was fixed on a previous release but seems to have gone a little haywire again.
  • FIXED - Running a customer report using Zip Code parameters brought up NO results.  However, if you skipped the Zip Code parameters it brought up everyone with many of the customers having Zip Codes within the parameters that we originally input.
  • FIXED - Bug in valuation report that would not hide the product code column header when it was run as a summary report.
  • FIXED - Set original price equal to base price on the labor adjustments window of the invoice labor form to fix a bug that caused labor totals on the RO to get out of sync.
  • FIXED - Bug that was not setting the restock detail record product code ID properly when converting a purchase order into a vendor invoice.
  • FIXED - Bug that was not showing the attached GL account on edited payment methods for anything other than credit cards.
  • FIXED - Open PO, select to add part that is on another open PO, select to edit the part from the part list, go to the stock tab and select to view items on order.  Now cancel all the way back to the PO and the PO will take on the vendor name and part description of the PO that was already on order.
  • FIXED - Bug that caused the highlight bar on the schedule to move down one when saving a quote.
  • FIXED - Bug that would not assign a cost if the part was added from a Menu Priced Labor and only had one in stock.
  • FIXED - Bug that was not putting in the phone extensions when adding an appointment or RO.
  • FIXED - Bug that caused a Windows Error (GPF) if you added a part from WorldPac, then shut down WorldPac, and manually restarted it while MaxxTraxx was still running.
  • FIXED – If you changed a customer's phone number it didn’t update appointments, open RO's, and open Part Invoices.
  • FIXED - Vendor List report so the address information shows.
  • FIXED - Misc. charge text on the sales and tax report.
  • FIXED - If you went to the Edit Job Clock and opened up a clock in.  The Actual hours didn’t show up on the detail form.  However, if you just looked at the form, then saved it without making changes, they then showed up.  Now, they show up initially as they should.
  • FIXED – When creating an appointment by searching customer and clicking on New Appointment OR Repair Order from the options menu, the function stops working after the first time you do it.  You have to close and reopen MaxxTraxx to create another one that way.
  • FIXED - Put code in to avoid multi min/max/system buttons appearing when switching between the schedule and part invoice forms.
  • FIXED - Bug that would not convert a quote into an RO when viewing a quote from the vehicle list on the customer form.
  • FIXED – Not costing sublets properly even after you purchase them on a Vendor Invoice.
  • FIXED - Bug that was not assigning the default product code ID to a placeholder on a menu priced labor when it was added to the RO.
  • FIXED - If you put a sublet on a RO and then purchase it...  Then go back to the RO and change the description of the sublet, MaxxTraxx will then warn you that you have to buy the sublet again.  It was confused when the user changed the description.
  • 3.8.7.7 Hotfix changes listed below
  • FIXED – Expanded the Disclaimer section when it has been moved to the bottom of the Repair Order.  Before it wasn’t printing the entire disclaimer.
  • FIXED - Miscellaneous Setup area functions that would not show the right click menu properly.
  • FIXED - Employee productivity detail reports that gave a bind error when trying to filter by last name or employee code.
  • 3.8.7.8 Hotfix changes listed below
  • FIXED - Bug that would calculate free form labors on the previous version improperly if their original price was different than the base price.
  • 3.8.8.0 Hotfix changes listed below
  • FIXED - Bug which truncated totals on the Sales Summary report and Tax Summary report, making the reports unusable.
  • FIXED – Registration caused some users to need to be re-registered, and their workstation ID's would change without notice. This new version will retrofit anyone who has not manually created a new workstation ID.
  • FIXED - Would not allow you to un-tag items in the cash drawer closing form.

  • FIXED - Vendor Parts Reorder Report to exclude inactive parts.
  • FIXED - Bug in the cash drawer closing routine that would mark invoices as posted even if they were not included on the closing.  This would not cause out of balance, but it would cause the part cost export to include items that should have been included on future closings.  They would not get re-included on the future export because the flag would be set which determines it had already been done.  The problem is that the closing shows costs that it shouldn't and it would export invoices that were paid on an open cash drawer as well.  If the user voided an RO later in the day after doing the export then their QB inventory costs would be off since it already got exported.
