RO Paid Using Incorrect Method of Payment

Q. I paid an RO using Cash, but the customer actually gave me a Visa card. How can I fix this?

Answer:

Assuming the payment you took has not yet been deposited to the bank, it's pretty easy. Click on the Cash Drawer icon at the top (looks like a money bag.) Click on the View Current Cash Drawer Transactions button at the lower left of the window. If your RO was paid today, you should see it on the list here. If prior to today, you can change the start date back to the date you took the payment. Highlight the RO in question and click on the Void Payment button in the lower left. (If a warning pops up stating "You can not void or delete this item because it is on the deposit listed below" you will have to go back and void that bank deposit before you can void the RO payment.) You should see a pop up confirming that you want to void this payment. It will list the RO number and allow you to continue if it is correct. If you click on Yes, the payment will be voided, and the RO will be placed back on the service counter schedule, with a status of Completed. If you need to change more than just the method of payment, you will need to change the status to something other than Completed.

When you enter the correct method of payment, make sure that if the original payment was on a date other than today, that you change the Date Paid to the correct payment date.

Sales Tax Rate Change Not Right on Open ROs

Q. I changed the sales tax rate in my setups, but on reviewing my already open ROs, I find they are still showing the old rate. How do I fix those?

Answer:

You will need to open each RO that was started using the old tax rate and correct them by clicking on the Miscellaneous tab on the left of the RO. Under Miscellaneous (upper left) and below the Service Writer box, you will see Tax Code. Click the Select button and highlight and Select the same Sales Tax rate that was already on the RO. This will force the recalculation of the Sales Tax for this RO. All new ROs written after you changed the rate in your setups will have the new rate automatically.

Invoice Held by Another Station

Q. When I try to open an RO on my schedule, I get a message telling me "This repair order is being held by workstation ___, you can view it only." No one has that RO open, how can I get access to is again?

Answer:

It may be that the RO was open on the named (___) computer when something shut down the whole program (system rebooted, program crashed, power loss, etc) so MaxxTraxx still sees it as open, even though it is not. Easy to fix. Just go to the named computer (which may even be a remote connection from home) and open the RO in question. Even though it says "Being edited by ___" in the upper right of the RO screen, when you Ok and Save the RO, it will release the hold. But you have to be on the computer that originally had the RO open, the named computer.

It has happened that the RO was originally held by a computer the "died" and is no longer in the network mix. In that case there is no way to reopen it from that computer. If that's the case, contact Support and we'll take care of it for you.

Saving a Repair Order as a Quote

Q. In MotorTraxx I was able to change a repair order back into a Quote to save for the future. How can I do that in MaxxTraxx?

Answer:

Technically, you can not, but we have some excellent alternatives that will provide you the same convenience. Since many times you might have added multiple "jobs" to an RO for your customer to consider having done. The customer may be unable to do some or all of those recommendations at this time. And when the customer returns at a later date, he might decide to still only do one or two of the several recommendations. Therefore, it makes sense to save them individually, by job, so that you can add them to future ROs as needed rather than all at once. So in MaxxTraxx we've given you the ability to save each "job" (Reason for Service or Vehicle Problem) as either a Recommendation (which you will be alerted to each time you start a future Appointment or Repair Order) or a SubEstimate (which allows you to discuss with the customer each job as it stands alone, and which also will alert you next time the customer is in.) To place a job into Recommendations or SubEstimates, simply right click on the Reason/Problem and both options will be available on the menu.

How To Discount Parts or Labors on a RO

Q. How can you apply a discount directly to the RO?

Answer:

To apply a discount to the entire Repair Order you click on the Miscellaneous tab on the left in the RO. There is the option to enter a discount percentage or flat amount on parts and/or labors.

To apply a discount to just a single line item, that is on the screen when adding the part or labor.
